GVO Administration settings – how do I use them?

Each GVO has a local super-user who has the user profile of ‘Manager’. The ‘Manager’ can perform several functions in the GVO that no other users (Readers, Authors, Editors) can carry out (including adding and amending user access).

The ‘Administration Settings’ for the GVO are accessed from the main navigator using the ‘Settings’ link (only visible to the ‘Manager).

Most of the settings (points 2-10 below) are self explanatory and very easy to change.

After any of the changes described below are made then press the ‘Submit’ button at the bottom of the screen (or Cancel to discard the changes).

The Settings area has a number of 'Tabs' for groups of settings available.

The following settings are available:

BASICS

1. GVO Name (appears on all pages of GVO) - BASICS

2. Enable the meeting pack download feature (allows a whole meeting pack in a Calendar Event to be downloaded as a PDF).

3. Enable the 'Subscribe' function - this will allow users to 'Subscribe' to any page in the GVO to receive 'live' email updates when a comment is added or the item is changed.


 

4. Enable the 'Meeting Attendance' feature - this allows users to mark their attendance at board and committee meetings and then reports can be generated to show annual attendance.

POLICIES

1. List of Policy Types – this allows each policy to be given a category which helps with reporting, sorting and searching in the 'Policy Maintenance'  area. You can change this list to meet the needs of your school/MAT/college - just add/edit/delete the options. Each Policy is allocated a 'Policy Type'.

2. The Draft Policy Status options - you can have as many of these as you want but often Draft is sufficient - it can become over-complicated if you add multiple options.

3. The Final Policy Status options - a policy MUST use one of the options in this list if it is to be published publicly. You can have as many options as you want. Often 'Final' or 'Ratified' is sufficient and avoids over-complication

NOTE: Both the Draft and Final settings can have multiple options but initially we recommend just having 'Draft' and 'Final'. If a policy is to be 'published publicly' it must have the 'Final' status (or a status from the 'final' list).

 

TRAINING

In this section the 'Training Course Categories' can be defined. These are used when setting up a new course and for reporting purposes.

You can add/edit/remove the Training Course categories to meet your local needs.

The next item is the list of 'Providers' for training courses - you can add/edit/delete the providers to meet your local needs. These will appear as options when a course is created and is also part of the reporting tool.

SKILLS MATRIX

The area where the categories and questions for the Skills Audit are managed.

NEWSLETTER

1. The ability to disable the weekly newsletter for all users (usually this remains unchecked) as the newsletter is a key component of GVO


 

2. The ability to choose which day of the week the newsletter is sent out (use the dropdown, select the day then press SUBMIT)


3. The ability to have notification emails sent with all recipients in the To: box (email addresses visible) or the Bcc: box (invisible)

4. To specify the number of days warning in the weekly newsletter about policies due for renewal (normally 60 days) and Governor Retirement Dates (normally 60 days). Help on Policy Alerts

GOVERNOR RECORDS

1. The initial options for Type of Governor, Appointing Organisations & Governor/Trustee Positions used by the Governor Records system.

Note: Each of these lists can be amended and will be available when each Governor Record is added. These choices appear in the Governor Record reports.

APPEARANCE

The ability to reorder the main navigation panel (order of top level folders). The Calendar and Task links may be located at the top or bottom of the list and the other folders can be ‘dragged’ into any order. To move an item 'drag and drop' using the 3-line icon - press SUBMIT to save the changes.

Note: Tasks and Training Records can be 'Hidden' so they are not available in your GVO.
