Have you ever wondered why some of the main menu items (like folders) are just folders and some have a key and some have a padlock....well, here is a quick explanation.
Any folder in the main navigator (or sub folders in the folder structure) that have a simple folder icon are 'open' (unrestricted) so all GVO users can see and access them.
Any folder that has a 'key' icon by the title is a 'restricted' folder - only people who have been granted access or the GVO Managers can see the folder and the contents. Managers can see everything in the GVO with the exception of Rooms (see below) where they are not members. Restrictions to folders can be set by the local GVO Manager or any user that has the access level that allows folder creation.
An item with a 'padlock' icon is a 'Room' which is a more secure area of the GVO often used for activity such as Pay Panel, HT Appraisal, HT Recruitment - only people who have been given access to the Room can see and enter the room. A Room is like a mini secure GVO. Even GVO Managers cannot access a Room if they are not a Room Member. Rooms are set up by the GVO Support Team and there are no limits on the number of Rooms in a GVO.
