Add or Edit Folders

To create a new folder your user profile must be set to allow this. If you do not have this level of access please contact your local GVO Manager.

To add a new folder follow the steps shown below.

  1. Navigate to the location where you wish to create the folder
  2. Use the Actions/New Folder button
  3. Add the Folder Title and any Description required
  4. Select the type of Folder (Standard - for files, Policy - for Policies or Discussion)
  5. Add any security settings necessary (this is only possible if the parent folder has no restrictions applied...if it does then the new folder will inherit the same restrictions)
  6. Press Submit

This will open up the 'create (or edit) folder page where you have a number of options available...

3. Folder Type - the most frequent type is 'Standard' for a folder that will contain files, pages, meetings etc.
Choose 'Policy' for a Policy folder - this will open up all the fields associated with Policies
Choose Discussion for a new Discussion Zone folder

4. The Sort order is chosen to determine how the folder contents will be displayed when the folder is opened. If nothing is set then the folder will assume it is the same as the parent folder (or for a top level folder it will assume 'Last Modified On' (ie newest first)

5. Sub-folder sorting ...this determines if sub folders are shown first followed by files/pages or of the folders just appear in the list alongside files/pages.

The next set of option determine if the folder is included in the newsletter (useful to stop old policies being highlighted) and also if the folder contents can be published publicly (again, useful to stop old policies being published accidentally)

The next area is the access control - use this button to specify who can access this folder (and with what permissions). These restrictions will be applied to all sub-folders as well.

To edit any of the above items for an existing folder follow the instructions below...

To change the name (rename) or access restrictions of a folder the navigate to that folder, press Actions/Edit Folder Properties ...make the changes then press Submit.
