Governor Training & Compliance Records - good practice

There are a number of areas where Governors need to indicate completion/attendance at training events and also mark full compliance with statutory guidance documents - examples such as Code of Conduct, Keeping Children Safe in Eduction (KCSIE), PREVENT, Safeguarding.

The GVO provides several ways to do this - the most complete method is to use the Training & Compliance Records feature.

Here are the steps needed for the GVO Manager and also the Governor to set up and record such compliance

1. Make sure that the Master Data for Training & Compliance Records has been set up - the options for types of training/compliance and also the providers of the training (GVO MANAGER)

2. Create the 'Training Course' for the area of interest (it could be one 'course' attended annually or a new course for each academic year). This is done via the Training & Compliance Records area by the GVO Manager (or any Governor/Clerk who has been given access to create Training Courses).

- Go to Training & Compliance Records and use the New Course option (top right)   

- Add the relevant title and use the 'Course Description' box to add the instructions for the Governors or Trustees - example below...

Helpful Hint...use the 'link' icon to point to an external website or  the small GVO icon to point to a document you have already loaded into GVO.

- Once saved you can you the SHARE button to alert Governors/Trustees to the need to complete the 'Training' by attending the course or reading and accepting the document.

- The 'Completion/Attendance' for this course can be added by the Governor/Trustee themselves or by a clerk who has been given access in their user profile or by the GVO Manager. This is the list of 'who can do what'


To mark the item as 'Read' or 'Completed' then the user visits the course from the list of available courses (or compliance activities) and uses the 'Record Completion' button.

This will allow the user to specify the date that the item was completed and (if available) to add a certificate of completion.

The Training & Compliance Records Reporting tool can be used to report who has completed the necessary task.

This is the most comprehensive way to record this essential information.

There are three other methods available but none offer the same features and reporting as Training & Compliance Records - one method is to simply use the commenting function against a document, the second is to use the 'approval' feature on a document, the third is to add a 'checkbox' in the Governor Record - none of these methods offer the same level of reporting and so are not recommended for this particular purpose.
