Best Practice Meeting Pack

What to look for in a well presented meeting pack...

  1. Title - clearly states what the meeting is and when it will be held (useful when looking back)
  2. Board/Committee - linking the meeting to a board or a board/committee indicates that the Meeting Attendance feature of GVO is being used
  3. Clearly defined folder where the meeting is stored - gives an indication of a well thought out folder structure where every document added to GVO has a place to be stored such that it can be found easily)
  4. Papers well titled and numbered (the numbering can be done in the meeting pack - it is NOT necessary to number the papers as they may be used by several different board or committee meetings
  5. Paper titles clearly defined to show what the paper is and what it is there for
  6. Lots of 'comments', 'approvals' and 'completions' - this indicates that a lot of work 'low level' has been done before the meeting which will allow the meeting to be focused and effective rather than dealing with minor items (eg typos)

Below is an example of a well managed meeting pack that indicates a well managed and effective GVO.
