Latest updates to GVO

August 2023

A 'news feature' has been added that will display a 'banner' on the Home Page that links to news about new features, good practice and webinars. The banner can be switched off by a user until the next news is added. This will provide a more comprehensive way for the GVO Support team to communicate with all users (clerks, trustees, governors etc)

May 2023

A major update to the 'Meeting Pack' to allow documents to be added and links added in one step - this is intended to assist with broader use of comments and approvals at document level. Additional training and Webinars held on this topic.

A series of format changes to make certain screens easier to use for all users. This included changes to the Training Records area to make it Training and Compliance Records

Changes to allow clerks to 'subscribe others' to content - useful when a clerk adds a document for someone else - this allows the comments etc to be seen by the document owner

June 2021

- Training Records Reporting now has a 'checkbox' for non-board members to be included (eg staff admin) - https://help.thegvoffice.com/trainingrecordreporting
- All Previews (and Meeting Pack) now allow PowerPoint files to be previewed
- Additional 'Other Data' can now be added to Governor Records - these options are set in 'Master Data' is the Settings area and will appear as 'checkboxes' in the record and will also appear in the 'User Reporting' area. https://help.thegvoffice.com/governorrecordsettings 
- The Page Copy function now makes the copy as if it was a new 'page'...a new creation date, the owner is the person making the copy, all comments are stripped off and page subscriptions removed except for the owner

May 2021

- GVO now allows additional document types to use the 'Approval' feature
- New feature to allow bulk upload of files to a GVO folder - all are added as files and there are no options for approvals or access control - that must be done afterwards.
- New feature to allow multiple links to be added to a Calendar Event from a GVO folder
- New feature to see who has subscribed to a page (click the small icon)
- Additional 6 month validity period now available for training courses

December 2020

- GVO now allows the addition of Training Certificates to the training attendance record
- The Meeting Attendance feature now handles in year changes to the board and committees as well as allowing flexible 'free text' for each meeting
- The Skills Audit reporting tool now allows the report to select by category - very useful if there are a series of categories for Governors and a different set for Trustees
- The GVO now allows users to manage training courses and training attendance independently so different people can manage different aspects of Training management
- The GVO now has a more flexible approach to 'who can do what' regarding Governor Records and Register of Interests

September 2020

- GVO now has a full 'Skills Audit' capability - the audit categories and questions are fully configurable and the reporting tool very powerful

- GVO now has a comprehensive Policy Management feature. This includes policy approvals, policy status, reporting and the ability to publish directly to a 'viewer' on the school/college website for parents, staff and students to see

POLICY MANAGEMENT

- GVO now has a 'Training Records' function that allows courses to be added and attendance recorded. A full reporting tool is available.

TRAINING RECORDS

April 2020

- GVO now has the ability to 'subscribe' to a page which means that you are notified of any new comments or changes to a page (file, event, policy,task, discussions, meeting) - you can subscribe and unsubscribe to any page in the GVO.
PAGE SUBSCRIPTION

-GVO now has the ability to 'lock' comments on any page (file, event, discussion, policy) - this means that any comments and approvals can be kept as a record. When the 'lock' is in place no more comments can be added and existing comments cannot be edited.
COMMENT LOCKING

March 2020

- GVO now has a 'Meeting Pack Download' function to allow 'offline working. All the content of the meeting pack and all the comments are in the download.

- GVO now has 'Governor Records' functionality including type of governor, appointing body, roles on the board, term of office, committees, register of interests and full reporting functionality. See HERE for more information.

December 2019

- GVO can support 'Board' structures in single schools and MATs - BOARD STRUCTURE
- Governor Records can be added for each Governor on each Board - Governor Records
- Register of Interests can be recorded by GVO Managers and Users - REGISTER OF INTERESTS

July 2019

- Folders can now be set up with specific display sequence with several options available. This is done when a folder is created or edited.
- Individual Folders can be excluded from the weekly newsletter (very useful for Historic Policies)

June 2019

- Order & Title of buttons to add links or files in a meeting pack modified to encourage use of links
- Additional search range (by date) added to search function
- A new 'tab' in the Tasks area now shows 'my incomplete tasks' - useful for a Governor to see their own tasks
- A task can now be marked as completed using the Actions button on a task (assuming the user has edit rights)
- New File is the first option in a document folder (new page is now second on the list) - this should encourage people to add files instead of pages
- When a new user is created the system has a banner saying it has been created successfully and that an email has been sent.
