MAT - Initial Set-Up

When the decision is taken to set up the GVO as a MAT then contact the GVO Support Team (01273 921066) who will do the initial preparatory work. This will put the GVO into 'MAT Mode' and also the main Trust Board will be created (name can be edited later).

NOTE: It is important to have an clear implementation plan when an existing GVO is moved into 'MAT mode' as all the personal data (email and telephone) will become redacted until the 'board groups' are defined and populated.

It will be useful to have the following information available...

  • Name of the Trust Board (this will initially be set to the name of the GVO followed by the words 'Trust Board' - it can be edited later)
  • Names of the Local Governing Boards (no limit to the number of LGBs)
  • Membership of the Trust and Local Governing Boards

The 'Board' structure is important as the board groups are used to determine what personal information (email and telephone) a governor can see about other governors. The 'board groups' can also be used for email notifications (mailing lists) and access control (folders and files). The GVO only allows personal information to be shared by users who are in the same board. The 'board groups' are also used as part of the 'Governor Records' information - this is to ensure that each record is linked to a particular board (or boards).

In the example below only the 3 Trustees can see Trustee information and most Governors can only see personal details of Governors in the same LGB.

One exception to this is Governor A who can see the personal details of governors in LGB 1 and LGB 2 as that Governor is a member of both boards.
