Hierarchy of Access Restrictions

GVO has a very comprehensive way of restricting who can see documents and also what actions a user can take (view, edit etc). New users are set up by the local GVO Manager.

Each user is given a basic level of access - Reader, Author, Editor or Manager - these are described in more detail in the help system - CLICK HERE

Within each role a user is given a series of options that they can or cannot do. The picture below describes the options available. This makes user access very flexible.

Each user will be able to perform the actions above assuming that they can see a document unless either folder level restrictions or document level restrictions have been applied.

Note: A Reader will not be able to add comments to any documents - the majority of users will be Authors (even if the other options are not selected).

In simple terms the hierarchy of access is:-

1. Document Level Access
2. Folder Level access
3. Basic user access

So, if a document has access restrictions applied then these will take priority over the folder or basic user access.

If a folder has access restrictions applied then the user access to documents in the folder will be controlled by the folder access and not by the user's basic role.

In all cases where folder or document access restrictions are in place then the word 'Restricted' with a small key will be present - click on this to see the access restrictions in place. Example below are a folder with restrictions and a document with document level restrictions.
