Locking a document

There may be times when you wish to 'lock' a document (a file, a page, a meeting/event, a task, a policy, a discussion) so that other GVO users (with editing permissions) cannot change it at the same time.

Note: Locked Documents are automatically 'unlocked' each night by the system (on the assumption that they have been left in a locked state in error). If you do wish to 'lock' the document overnight then please use the document access controls to prevent other users from modifying the document (eg set the access to 'only you').

To 'lock' a document is very easy in the GVO - go to the document you wish to 'lock' and use the Actions/Edit option.

When you are editing the document you will see a blue line across the top which shows who is editing the document and when (see below)..

If you leave this document without pressing the Cancel or Submit button (eg by pressing the Home option on the main menu) then you leave the document in a 'locked' state until you go back to it.

When other users go to the document they see the last version of the document and will also see it is 'locked' (& and by whom)...

Only the person who locked the document and the local GVO Manager can unlock a document. The person who locked it can go back to the document, complete the changes and then 'submit' which unlocks it.

The local GVO Manager (or the support desk) can unlock all documents.
