There are 5 levels of user profile available:
Inactive profiles are there to allow GVO Managers to set up group and board membership (and Governor Record information) before the user has access to the GVO. This is very useful when setting up a new GVO. This status is also useful when Governors resign/leave as it prevents them accessing the GVO but they still appear and board and attendance reports.
Readers can only read items they have access to (NOTE: they cannot even add comments). Managers have access to all functions.
Authors and Editors have a series of options available (see below) to suit the needs of each set of Governors.
Managers can see and do pretty much everything.
The main difference between 'Author' and Editor' is that an Author can only edit/delete their own content (if permissions allow this) whereas an Editor can edit the content added by somebody else - normally this is only given to a few specific users who need that facility.
It is strongly recommended that most Governors are given the 'Author' profile (even if none of the other options to add content or perform special actions are selected) so they can add their comments and questions to items in the GVO.
Only GVO Managers can Add/Edit/Delete user profiles. To make a change access the user via the 'Users, Boards & Reporting' option, select the Users tab (then click on the username you wish to amend) and then 'Edit'.
This is the list of the type of 'Content' the user can create...
This is the list of 'Special Actions' a user is allowed to perform (some intended to assist the GVO Manager by delegating certain tasks to certain users).
Use the checkboxes to determine what (if any) actions this user can perform.
If you want more detail about the specific actions please give the Support Desk a call on 01273 921066 and we can explain!
To see what options a user has been given, navigate to the Users section of the main navigator and click on the relevant name, The profile will be displayed showing Contact Details, Preferences and their Permissions (the groups/boards they are in and the access permissions they have). If a user required a higher level of access then they should approach the local GVO Manager to request this.
The Skills tab will show the 'skills audit' information (if completed).
