How to manage the GVO Notifications that you receive

The GVO notification feature is a powerful and flexible way of keeping you informed of everything that is happening in your GVO. However, if the use of notifications is not well managed it can become overwhelming.

Here are a few hints and tips that you and your fellow users may wish to consider.

There are 3 ways in which notification emails from GVO arrive in your inbox - some generated by others, some by yourself).

1.    Weekly Newsletter automatically sent out by the GVO to all users - this is 'personalised' for you and only shows items that you have access to. It shows activity (additions, edits, comments) over the previous 7 days and also events, tasks, policies and other items due in the next two weeks.

2.    Notifications sent to you by other users via the 'SHARE' feature. In order to reduce unnecessary emails when using the SHARE feature please consider the following ideas

- only select the users who really need to see this item immediately (avoid 'notify all users')
- add helpful text into the message title and message body (eg FYI, For Approval, For Comment) so that the recipient knows what is expected of them and by when

3.    Notifications sent to you when you have 'subscribed' to that item (you are completely in control of this). When you no longer need to be updated about comments/changes to an item you can 'unsubscribe' and you will stop receiving further updates (apart from the weekly newsletter)

With some very small changes you can help to reduce the number of messages that you see - it may be an idea to agree this with your fellow governors and trustees.
