Tasks- how to get the best out of the Tasks function

Tasks function

The Tasks function provides the opportunity to record details of actions (matters arising) to be completed. It also provides a means of updating the team on progress.

NOTE: The TASK features described below will only be visible if the TASK function has been 'switched on' in your GVO - this is controlled by the local GVO Manager in the APPEARANCE section in the SETTINGS' area.

To create a Task, click on ‘Tasks’ in the main Navigator, then ‘Actions/New Task’. Follow the on screen instructions to enter the details of the task. (If there are several small individual tasks it may be preferable to group them as one Task, such as ‘Actions from the meeting on xxx’.)

Comments can be added to record and inform the team of progress with the Task.

Note:

  1. Tasks can be assigned to individuals, multiple individuals or groups – normally the person who has undertaken to see that the action is completed.
  2. There is an option to display a Task on the Calendar
  3. Files relating to the task can be attached
  4. By using the Change location function you can have the Task show up in another Folder, as well as in the Tasks data base; for example the Tasks folder of one of the committees. That makes for an easy way to see the tasks that are logically grouped together and the Task also has the same restrictions as the folder it is displayed in.
  5. Using the ‘View’ button on the Tasks page it is possible the see: All Tasks, Incomplete Tasks, or Tasks assigned to oneself.
  6. People who are assigned to the Task have 'edit' rights to update it and will receive updates and reminders in the weekly newsletter.
  7. Tasks that are complete need to be marked as such. Go to the task and use the 'Actions/Edit Task' option, mark the task as complete and then Submit.
